Cash Summary

Your Cash Summary Module allows you to review a daily reconciliation of your bank balance that will help you make day-to-day informed decisions. You may access your daily bank balance, your available bank balance and a reconciliation of your "truly" disposable, expendable balance, all organized in one place. With this daily reconciliation, you will always know what checks and/or deposits are outstanding and pending to clear the bank. As you already know, this is crucial when deciding which invoices to pay.

In addition, your Cash Summary Module allows you to quickly analyze your liquidity situation by reviewing, in one page, your current bank balances, your open invoices and scheduled payments, your uncollected receivables and your estimated future payroll commitment. By comparing all this information in one organized place, you may decide which invoices to pay or hold or which clients to follow up on their uncollected balance, in order to meet your payroll commitments.

Furthermore, once each account is reconciled, we will send you by e-mail with all the relevant information, including your bank balance and the transactions that have cleared the bank since our last reconciliation. By providing this proactive service, you may receive e-mails over your cellular phone or at your electronic organizer and review any returned deposits or overdraft balances before your Payees and/or bank officials’ contact you.

There are no limits as to the number of bank accounts you can review or as to the financial institution where you maintain your account.

Payments

Processing a payment is as simple as making two clicks in your Payments module. The first click selects the invoice and the second click approves and schedules the payment. YES, IT IS AS SIMPLE AS THAT!

In your Payments module you may review a list of all your open invoices segregated by each Payee. You may also view a scanned image of the actual invoice received and you may select and schedule which, when, how much, and from which bank account, each invoice will be paid. A history of the payments and invoices to/from each Payee may also be accessed for review and analysis.

If you need to make a payment to a Payee that has not been set up in our records, you may add both the Payee and the Payment on-line. In addition, for payments that repeat themselves in a certain frequency, you may set them up as a recurring payment. Recurring payments can be set up for different frequencies and for fixed or variable amounts.

Furthermore, in your Payments Module you may review a list of all your Payees and access their relevant information on-line, including their telephone number, address, e-mail, contact person, etc. In addition, you may add new Payees or edit existing ones on-line.

All payments can be processed by check or electronically.

Receivables and Deposits

In your Receivables and Deposits module you may view an organized summary of all your outstanding uncollected invoices segregated by each Customer. You may review scanned images of invoices sent and you can also access your Customer’s history of transactions for review and analysis.

In addition, in the Receivables and Deposits module you may also request that we follow up on your uncollected invoices. Based on your request, we will proceed to call, send a facsimile or e-mail the Customer on your behalf. After we have contacted them, we will report back to you the results of our attempt.

Furthermore, in your Receivables and Deposits Module you may review a list of all your Customers and access their relevant information on-line, including their telephone number, address, e-mail, contact person, etc. In addition, you may add new Customers or edit existing ones on-line.

You may also record daily Deposits made and segregate them by Customer and invoice paid. This will help you keep track of outstanding deposits and Customer paying tendencies.

Payroll

Processing your payroll has never been so easy and efficient. It is as simple as entering the Payroll Period End date and entering the number of hours worked per employee in your Payroll module.

You may segregate your employees by hourly and salaried employees. Hours worked may be segregated by vacation, sick, regular, overtime, etc. In addition, you may set up different payroll frequencies for different employees. For example, your executive employees can be paid once a month, while your hourly employees can be paid on a weekly basis. You can also add a new employee to your payroll or edit the information of existing ones on-line.

Furthermore, in your Payroll module you may review a list of all your employees and their YTD compensation history. You may also view employee information including addresses, telephones, compensation rates, etc.

We will prepare and forward you the payroll checks or direct deposit files and related vouchers, including a detail of all the regulatory withholdings and voluntary deductions made. The checks and vouchers will also reflect the number of vacation and sick days each employee has accumulated.

We will also prepare all regulatory monthly and quarterly informative regulatory forms.

You may review, access and/or download all your financial reports directly from your Financial Reports module. All financial reports can be tailored made to fit your needs and are prepared on a monthly basis.
